Quotations (Sales Estimates) ​

When supplying hotels, schools, offices, or catering clients, customers often ask for a price estimate before confirming the order.

How Quotations Work: ​

  1. Go to Documents → Quotations and click New Quotation.
  2. Select the customer and add items with their proposed prices and tax rates.
  3. Set a Validity Date (e.g., "Valid for 15 days").
  4. Click Print / Export PDF to generate an elegant quotation with your store logo, payment bank details, and terms & conditions.
  5. 1-Click Conversion to Sale: When the client calls and says "Go ahead with the order", simply open the quotation and click Convert to Invoice. The system reserves your stock, generates the official GST Tax Invoice, and records the sale—without retyping a single item!

Delivery Challans (Transporting Goods Without an Invoice) ​

In many wholesale and manufacturing situations, you need to transport merchandise before issuing the final bill:

  • Goods on Approval: Sending 20 samples to a boutique where the owner chooses 5 and returns the rest.
  • Job Work & Processing: Sending fabric to an embroidery workshop or raw metal for cutting.
  • Staggered Deliveries: Dispatching 3 truckloads across the week against a single large purchase order.

Under Rule 55 of Indian CGST Rules, transporting goods under a Delivery Challan is fully legal:

  1. Go to Documents → Delivery Challans.
  2. Create the dispatch slip with product names, quantities, and transport vehicle details.
  3. Print the challan for the delivery driver.
  4. Once the customer receives and verifies the goods, click Convert to Tax Invoice to generate the final bill and collect payment.

E-Way Bills Made Simple ​

Under Indian GST regulations, whenever you transport commercial goods whose consignment value exceeds ₹50,000, the vehicle must carry an Electronic Way Bill (E-Way Bill) to pass highway RTO and GST inspection checkpoints.

How MEGSTAT POS Handles E-Way Bills: ​

  1. When finalizing a large invoice or delivery challan over ₹50,000, click Generate E-Way Bill.
  2. Enter the transport details:
    • Transporter Name & Transporter ID (GSTIN)
    • Vehicle Number: (e.g., MH-12-AB-1234)
    • Mode of Transport: Road, Rail, Air, or Ship
    • Approximate Distance: (e.g., 120 km)
  3. Click Export Government JSON: MEGSTAT POS creates the exact file format required by the official government NIC E-Way Bill portal.
  4. Upload the file to the portal to receive your 12-digit E-Way Bill Number (EBN).
  5. Print the official E-Way Bill document with the mandated QR code and barcode to hand to the delivery driver!

  • Card Issuance: Go to Loyalty & Cards → Gift Cards and click Issue Card. Enter card code (or swipe magnetic/barcode card), set starting balance (e.g., ₹1,000), and set expiration date.
  • Fast Counter Balance Check: Cashier clicks Check Gift Card at the counter and scans the barcode to immediately see remaining balance.
  • Partial Redemption: If the customer's bill is ₹650 and the card has ₹1,000, the bill is paid in full and the card retains a ₹350 balance for their next visit.
  • Top-Up: Customers can reload existing cards with additional funds at any time.
